Job Description
The Senior Administrative Assistant (K0165686) Performs a variety of office administrative support tasks including the following: maintains budgetary accounts relating to grant affidavits/payments; reviews for completeness and accuracy in accordance with payment criteria; manages the clerical functions and work production including the flow and review of a record and filing system; plans and maintains an adequate inventory of office supplies, equipment, and property; maintains calendars, appointment schedules, and makes travel arrangements; screens and refers callers; provides detailed responses to information requests about varied programs and activities; plans and implements office procedures/systems and devises/implements modifications with supervisor.
Job Responsibilities may include but are not limited to the following: Processes a variety of technical materials pertaining to grant applications, contracts, vouchers, requisitions, and file materials. Prepares and maintains various records on office activities pertaining to purchase orders, invoices, vouchers, materials receipt, transfer invoices, maintenance and project cost records, travel expenses and related activities.
Education:
High School, GED
Licensing & Certification:
Valid Driver’s License – Incumbent is required to have and maintain a valid driver’s license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State.
Minimum Qualifications:
One year of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

  • Word, Excel, PowerPoint, Access
  • Proofreading, editing, attention to detail o Shorthand/speed writing/transcribing skills
  • Excellent interpersonal and organization skills
  • Ability to establish/maintain effective working relationships
  • Ability to record, file and transmit information o Ability to communicate effectively orally and in writing
  • Ability to extract data and formulate reasonable conclusions
  • Ability to draft/enter information in a variety of formats
  • Ability to plan, organize and follow through on tasks while performing a variety of functions
  • Knowledge of data control/data entry
  • Experience with Outlook
