About Us

Who We’re Looking For

The Arizona Capitol Times is seeking a highly organized and proactive Capitol Reports Coordinator to join the State Affairs team. This role is essential for overseeing the management and production of the Arizona Legislative Report (AZLR), Yellow Sheet Report, Arizona bill tracking services, delivering news and information via State Affairs’ various other products, supporting client needs and delivering top-tier support.

What You’ll Own

Key Responsibilities

  • Oversight of Arizona bill tracking and services
  • Serve as the chief client relationship manager and point of contact for Arizona users.
  • Build strong relationships with users.
  • Provide top-class client support.
  • Track and report bugs and issues.
  • Recommend new features based off client feedback
  • Provide customer service to new clients, including troubleshooting and technical support.
  • Oversight & production of the AZLR.

Coordinate the development and posting of all needed legislative reports, including:

  • The Daily Record (daily during session)
  • The Amendment Record (whenever data is available)
  • Bill Summary Updates (every few weeks during session)
  • Friday Reports (every Friday when AZLR is running)
  • Provide copy editing support to editorial staff daily when AZLR is running.
  • Compile and post content on the AZLR site, including converting to PDFs and posting to correct sections using site categories.
  • Build strong relationships with users and deliver top-class client support.

Oversight of Yellow Sheet Report

  • Coordinate the development and posting of all needed reports, including:
  • The Wake Up Call (compiled once a day and sent in the morning)
  • Friday Reports (every Friday)
  • Provide copy editing support to editorial staff daily.
  • Post content on the YS site, including converting to PDFs and posting to correct sections using site categories.
  • Build strong relationships with users and deliver top-class client support.

Oversight of Special Publications and Event Special Sections

  • Support special publication projects and events, including the Green Book, Book of Lobbyists, and special sections for the Arizona Capitol Times, including Meet the Candidates, Women Achievers, Best of the Capitol, and Leaders of the Year.
  • Maintain a schedule of upcoming special publications.
  • Coordinate the collection and compilation of needed data for export to the production team.
  • Ensure timelines are met by beginning production with enough lead time.
  • Edit proofs provided by production teams in InCopy.
  • Answer questions from the production team related to publication.
  • Track and execute sales of special publications.
  • Oversee the mailing of publications to clients.
  • Assist sales, editorial, and promotional teams with data compilation for events.
  • Coordinate communication with nominees, guests, and other event-related personnel.
  • Oversee the development and proofing of event collateral, such as certificates, trophies, and PowerPoints.
  • Support our public notice operation when needed.

Administration

  • Assist with the administration of the Arizona office.
  • Monitor client churn and raise alarms when necessary.
  • Oversee any assigned staff, including training and providing feedback.
  • Interview, hire and manage temporary staff once per year (Legislative Records Assistant).
  • Keep the office stocked with needed supplies.
  • Maintain the Stamps.com account for mailings.
  • Coordinate with State Affairs staff to ensure AZ staff has needed tools and logins to succeed.
  • Advocate for Capitol Reports products to State Affairs, ensuring products meet client expectations.
  • Support other operations, departments and products as needed.

What You’ve Probably Done

Qualifications

Minimum of 3 years in a similar role with a strong focus on client relationship management, technical support, and sales operations.

Skills:

  • Proficient in CRM software, Google Workspace and Microsoft Office Suite.
  • Strong knowledge of legislative procedures and rules.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects simultaneously and meet deadlines.
  • Basic graphic design skills and proficiency in design software (e.g., Canva/Adobe Creative Suite).

Preferred Qualifications:

  • Experience in a legislative or media organization.
  • Familiarity with LOLA & the Arizona policy community.
  • Proven track record in sales and client support.
